About the Role:

We’re on the lookout for an enthusiastic Administrative Assistant. Our ideal candidate will have experience handling administrative tasks for a large group of people in a fast-paced environment. 

As an administrative assistant, you will be reporting to our Business Support Manager, and working within our administrative team based in our head office. Your main responsibility is to assist with the day to day operations of the company.


  • Work hours available within school hours if required

  • Regular team functions/events!

  • Onsite parking



  • General office duties such as organising incoming/outgoing freight, answering and directing phone calls, redirecting email & website enquiries.

  • Support the accounts team with tasks such as invoice processing and expense reconciliations.

  • Support the engineering teams by coordinating training courses, supply of clothing and equipment, maintaining registers and subscriptions.

  • Support projects with tasks such as opening/closing job files, materials/software procurement, inventory management, document preparation.

  • Coordinate travel arrangements for group bookings and field-based employees

Candidate Profile:

  • Demonstrated administration experience.

  • Excellent organisational skills.

  • Ability to work on multiple tasks and projects at the same time.

  • Exceptional communication skills and a strong work ethic.

  • Excellent customer service and the ability to build rapport and manage client relationships.

  • Strong working knowledge of Excel, Word and other Microsoft Office Programs.

  • Ability to pick up and learn new systems quickly.

  • Good time management skills, the ability to work independently and collaboratively in a team.

  • Xero business software systems.

  • Coordination of travel bookings.

  • Invoicing and expense reconciliations.
